End of Year closes 22 November
Completing your school's End of Year (EOY) process ensures all employees are paid correctly over the term 4 holidays.
There are just four questions:
1. What are your school's start and end dates for 2021 and 2022?
2. Which employees' jobs are ending (terminating) in term 4 in 2021?
3. Which continuing employees will have a last day for 2021 that is different to your school's term 4 end date?
4. Have you booked annual leave for your 52-week workers?
Schools must have submitted this information by 5pm on 22 November 2021, but you can update it as often as you like and submit it any time before then. Note: you cannot change your school's term 4 2021 end date after EOY screens close on 22 November 2021.
You’ll find the 2021 EOY Toolbox on the home page of our Novopay website, or click here to go to the Everything you need page [Novopay website]

Reminder
The EOY Report CSV is only available until EOY closes on 22 November – please save a copy for your records.
Callback trial underway
In response to feedback from authorised users about School Account Team assistance outside our dedicated phone hours, we're trialling a callback system. While we recommend people contact us by phone during our phone hours, we recognise there are times when this may not be possible. In order to provide further support to schools, we are trialling a callback request, so we can assist you before the phone lines open or after they close.
To request a callback, please send an email to support@novopay.govt.nz with “CALLBACK”as the subject line. In the body of the email, please give us a guide on a time you would be available to take a call, and a general idea of how we can best help you. If the request is urgent, then we recommend you call during business hours, so we can assist you directly.
Temporary increase in phone hours
Our School Account Teams' phone hours are temporarily increasing for EOY, so you can contact your payroll advisor more easily during this busy time.
Increased phone hours for EOY – closes Monday 22 November:
- from Monday 15 November to Friday 19 November, our phones will be open from 9am to 4pm
- on Monday 22 November our phones will be open from 8.30am to 5pm
Outside these hours, you can email support@novopay.govt.nz
Reminder to amend end dates of term-time-only and fixed-term employees if your EOY date has changed
If you have changed your school’s term 4 end date for 2021 (due to COVID-19, for example), please amend the end date of your term-time-only employees and fixed-term employees (if required).
Coming soon to EdPay
We are close to completing an EdPay timesheet transaction history, a feature that many schools have requested. We're targeting late November for its release. We are also making good progress with an EdPay leave reversal feature. We'll let you know when these are ready for you to use.
Calendars for 2022
Printable calendars and the school payroll processing schedule for 2022 are now available here [Novopay website]
Tell us who to contact
Sometimes we need to contact your school and we cannot get a response via the existing contact details (especially when schools are closed due to lockdowns or the term 4 break). We need the name, phone number and email address of your school's designated authorised user. If you've already told us as part of the recent End of Year / Start of Year survey, you don't need to do anything. Otherwise let us know the right contact by emailing support@novopay.govt.nz with 'Emergency contact' in the subject line.
