This payroll update has information to help you during our busy end of year pay periods (PP19 and PP20) and end of term reminders.

Information for pay periods 19 and 20

Extended phone hours

We will extend our phone hours at the end of PP19 to give you more time for any queries about holiday pay.

Friday 5 December to Wednesday 10 December 9.00am to 3.30pm

Tickets

To help us process tickets in PP19, please:

  • add either “for PP19” or “for 2026” if the request relates to next year to your ticket subject line, and
  • reply to tickets directly, rather than sending a new email.
    (If you reply with a new email, it goes to the back of the queue.)

Fixed-term teachers

Restarting and holiday pay for fixed-term teachers who pass the full year test

This table is only relevant for fixed-term teachers who started on or before 7 February 2025 (ie, who pass the full year test).

This table is only relevant for fixed-term teachers who started after 7 February 2025 (ie, who don’t pass the full year test).


Timesheet-only employees and public holidays

Timesheet-only employees who are eligible for the Christmas week public holidays will be paid these in pay period 20, pay day 23 December. It will be based on their timesheets paid in pay period 18 and 19. This is the only time we automatically pay public holidays to these employees. The public holiday days are Christmas Day, Boxing Day, New Year’s Day, and the day after New Year’s Day.

Term break reminders

Employees on ACC leave during term four holidays

Here are some reminders about ACC responsibilities.

  • If an employee is unfit to return to work throughout the term four holidays, they need to provide ACC with a medical certificate that covers the whole holiday period.
  • If an employee is receiving weekly compensation from ACC and receiving holiday pay from the schools' payroll in pay period 19/20, they must tell ACC about their holiday pay.
  • If the employee is a 52-week employee on ACC leave, the school needs to continue to submit a NOVO12acc leave booking form, see EdPayand forms.

Holiday pay reduction (HPR)

Now is a great time to remind teachers at your school how HPR may affect them during term breaks.

At the beginning of each term break, we calculate holiday pay reductions for teachers who have taken unpaid leave during the term that just ended eg, leave without pay (LWOP) or sick leave without pay (SLWOP). Reductions will be made at the end of the term break and will appear on the SUE report as code HPR.

Employees can check their employment agreement’s remuneration / holiday pay section to see how their reductions are calculated.

2026 payroll calendars

Payroll calendars for 2026 are now available on our website. The Payroll calendar page (Edpay.govt.nz) includes:

  • a printable calendar
  • the processing schedule
  • the fortnightly pay cycle, and
  • iCal items to add to your school calendar.

Branding on forms

Over the next few months, you may notice some changes to our payroll forms. In preparation for our new ticketing system (more news on that next year) we are taking the opportunity to update and unify our branding and instructions.
