News for School Payroll Staff

Kia ora koutou

We hope term three is going well for you, and you are staying warm in this winter weather.

This newsletter focuses on helping you prepare for two upcoming events: your school’s 2026 ACC levy, and the new EdPay forms portal.

Get ready for your school’s 2026 ACC levy

Your school’s ACC levy invoice will be available soon

Your school’s 2026 ACC levy invoice will be available to download from EdPay from 12 August 2026. Go to EdPay > Reports tab > ACC EOY report > 2026 invoice.

Your school’s annual ACC employer levy covers work-related injuries for employees who are paid from your school’s operational grant funding. Your levy amount is calculated at a rate of $0.28 per $100 of liable earnings.

Your school’s levy will be deducted on 8 September

The ACC levy will be deducted from your school’s account on 8 September 2026. Please make sure your account has enough funds on this date.

For more information, see the ACC levy page on the EdPay website.

We’ve started rolling out the new forms portal

We’ve tested the forms portal with eight schools

Last week, eight schools tested the new forms portal. Testing went smoothly, with 24 forms submitted successfully on the first day of the pilot.

Beta schools will get access to the forms portal on 11 August

We are on track to give our Beta group of schools access to the forms portal from 11 August. If your school is a Beta school, we’ll email your authorised users a link and instructions when it’s time to start using the portal.

All schools will get access to the forms portal on 8 September

We’ll send you more information before your school gets access, including what your school needs to do to get ready.

You can start getting ready by completing the training modules

You can get ready to use the forms portal by:

To access the new portal, you’ll also need to link your Education Sector Logon (ESL) and EdPay accounts before your school’s go-live date. Most of you have already done this. However, if you haven’t yet linked your accounts, go to our webpage Getting started in EdPay for instructions.
