Provisional and confirmed rolls - updating provisional payroll data after confirmed 1 March rolls

In September each year the Ministry of Education informs schools of their staffing and funding entitlements for the following year based on their provisional rolls. We use this provisional data to calculate principals’ pay and allowances for Māori and Pacific teaching immersion levels.

In March each year, the Ministry confirms schools’ actual rolls on 1 March. We then update our payroll data and adjust pay rates and allowances if required.

Principals’ pay rates

We will adjust pay rates for principals in pay period 4, pay day 13 May 2025.

Māori and Pacific teaching immersion levels

Māori and Pacific teaching immersion levels have been updated based on schools’ confirmed rolls. Eligible schools can apply for allowances in EdPay.

Pay ending report

Please check regularly (eg, before each term break) if there are any employees that you need to restart. Go to EdPay > Reports > Pay Ending Report to download the list of employees with a pay ending date in the near future. This report also shows employees who have left but whose jobs have not yet been terminated.

Special Tax Codes (STC)

If any of your school’s employees had a Special Tax Code for the financial year 2024-25 and they are querying their PAYE from pay period 01, please advise them that:

  • Education Payroll has supplied IRD with correct information for that period, and
  • IRD has advised they can offer refunds for any over-deduction of PAYE for this period.

Caution: using AI as a source of information

Recently, one of our team members was investigating how we can incorporate AI in our work and they used Google AI to search for Ministry of Education mileage allowances to test its accuracy. The AI Overview gave a significantly incorrect result.

To avoid any confusion or disappointment, please don’t rely on AI or Google and always go to our website, the Ministry’s website and the collective agreements to get accurate payroll information.
