Payroll Update 17 June 2026 - our new forms portal special edition #1

News for School Payroll Staff

Education Payroll is introducing a new online forms portal as part of an upgrade to a modern, more secure ticketing system.

When we roll out the new portal, you’ll be able to send us some payroll requests using online forms instead of pdf forms. You’ll also be able to track your requests, communicate with your Payroll Advisor and view your ticket history in one place.  This will make managing requests easier and we’ll be able to resolve issues faster.

What’s changing

Instead of downloading a pdf form, filling it in and emailing us, you’ll be able to complete the form online.  If forms are completed online you can:

  • track your ticket’s progress
  • communicate with your Payroll Advisor
  • update your request if you need to.

You’ll do all this through the portal.

What’s not changing

EdPay: anything you currently do in EdPay, you’ll continue to do in EdPay, such as updating an employee’s contact details.

Pdf forms aren’t going altogether: there will still be some payroll requests that need printable pdf forms, such as setting up a new authorised user (EP5). This is because these forms need to be signed by the employee or a third party.

When will the portal be introduced?

We’re rolling out the portal in stages to support a smooth transition:

This staged approach lets us test the portal, respond to feedback, iron out any glitches, and make sure we’re ready before moving to the next stage.

A few weeks before the rollout, we’ll send you more information and links to a training guide and videos.

Training

We’re confident that you’ll find the forms portal easy to use, but we recommend that you set aside some time to view the training materials, so you’re ready from day one.

Support and feedback

If you have any questions or need help, please contact your payroll advisor. If you have any feedback, please email us at feedback@edpay.nz.
