Payroll update - special edition - new rollout date for EdPay-ESL linking

News for School Payroll Staff

Kia ora koutou

Good news! Our team has resolved the issue that delayed the EdPay-Education Sector Logon (ESL) linking last month. We’re happy to announce the new rollout date: Thursday 24 July, in the afternoon.

Most EdPay-Beta users have linked their accounts and are now using single sign on to EdPay and other education applications via ESL. If you’re at a Beta school and you’ve linked your accounts, you don’t need to read any further. Kia tino pai tō rā. Have a great day.

For everyone else, please read and bookmark this special edition newsletter. It contains updated information and instructions for the EdPay-ESL linking process. It tells you what you need to know and what you’ll need to do when we “go live” on 24 July.

What you need to know – overview of the linking process

What’s happening?

We are moving EdPay under the Ministry’s Education Sector Logon (ESL). When the linking process is complete you will log in to EdPay using your ESL details instead of your MoE# and password.

When?

“Go live” begins on Thursday 24 July, in the afternoon.

Why?

Logging in to EdPay via ESL using multi-factor authentication will increase security for EdPay. It also means authorised users can log in to all their ESL applications, including EdPay, with a single sign on. You will need to link your EdPay to ESL to be able to use our new ticketing system which is coming soon! We will send more information about this in a few weeks.

What do I need to do?

Now: Read the What you need to do now checklist below to make sure you’re ready for the linking process.

From 24 July: When you open EdPay you will be asked to complete a verification process to link your EdPay logon to your ESL. The instructions for this are below.

After: You’ll need to update your bookmarks to point to www.edpay.nz

How often?

This is a one-time process. You will only have to do it once, even if you work at more than one school. The next time you open EdPay you will log in via ESL.

Questions?

If you have any questions or need support during the linking process, please contact the Education Sector Service Desk (0800 422 599, option 2).
During the implementation period you’ll still be able to logon directly to EdPay if you need to, but this option will only be available for a short time.

Do you have your MoE# and EdPay authorised user email address?

We recommend you download your school’s current authorised users report (go to EdPay > Reports) to confirm your email address and MoE#. You can also use this to help other authorised users at your school prepare for the linking process, particularly those who don’t use EdPay very often.

What you’ll need to do after 24 July

Instructions for the linking process

When we “go live” on the afternoon of Thursday 24 July, use the instructions below to link EdPay to your ESL.

Important: Update your EdPay link

You’ll need to update any bookmarks, favourites or desktop shortcuts you use to open EdPay because the old link will no longer work after the roll out.

Please make sure all your bookmarks and shortcuts point to: www.edpay.nz

How you’ll log in to EdPay after you’ve completed the linking process

The next time you open EdPay:

  • If you’ve already logged into ESL, you’ll go directly to the Employees page in EdPay.
  • If you haven’t, you’ll simply log in via ESL. For a short time you’ll login via the “Welcome back to EdPay screen” (see the picture below). Click on the Logon via ESL button to open the ESL logon screen. You won’t need to repeat the linking process.

If you have any questions or need support during the linking process, please contact the Education Sector Service Desk (0800 422 599 - option 2, service.desk@education.govt.nz).
